Terms of Service

These terms apply to your use of the Kokai website and services, operated by Digital Tech Dynamics (Private) Limited ("we", "us"). By using the website you agree to these terms.

Our services

Kokai helps people discover events, and helps organisers create digital invitations, manage guest lists, send invitations by WhatsApp and email, and collect RSVPs. Our team can also build an invitation for you (Done-for-You). We may change or improve the services at any time.

Enquiries and bookings

Sending an enquiry does not create a booking or a contract. Any work we do for you, including fees, is agreed separately in writing before it starts.

Payments and refunds

Designing and previewing an invitation is free. You pay once per invitation, in US dollars, by EcoCash or InnBucks, at the price shown on our Pricing page when you pay. Your invitation is published after our team confirms your payment (Corporate & Gala invitations are also checked by our team first). Mobile-money charges are paid by the sender.

• Before your invitation is published: if you change your mind, you can ask for a full refund.
• After your invitation is published: payments are not refundable, because the service has been delivered. You can still edit the date, venue and other details at no extra cost if your plans change.
• Our mistake: if a fault on our side stops your invitation from working and we cannot fix it, we will refund you in full.
• Paid twice or paid too much: we will refund the extra amount.
• If we cannot confirm a payment (for example, the transaction ID does not match), we will tell you why so you can check it. Nothing is published until a payment is confirmed.
• Done-for-You work follows the terms in your written quote.

To ask for a refund, contact us within 14 days of paying, atevent@kokai.co.zw or on WhatsApp (+263 71 978 0766), with your invitation reference and transaction ID. Refunds are sent to the same EcoCash or InnBucks account that paid, for the amount we received.

Organisers' responsibilities

• The event information you give us must be accurate and lawful.
• You must have permission from your guests to share their names and contact details with us for sending invitations.
• You are responsible for the content of your invitations and event pages, and for the messages you send to guests from your own WhatsApp account.
• Each plan has a guest limit, shown on our Pricing page. Personal RSVP links, guest list import and plus-ones come with the Wedding, Corporate & Gala and Memorial plans.

Guests

RSVP links are personal to each guest. Do not share or forward your link. Anyone who has it can view and change your response. You can change your reply until the end of the organiser's reply-by date, and never after the day of the event. Your reply is shared with the organiser.

Acceptable use

You must not misuse the website. For example, you must not send spam through our forms, try to access information that is not yours, or interfere with the website's security or operation.

Intellectual property

The Kokai name, logo and website design belong to Digital Tech Dynamics (Private) Limited. Event photos and content remain the property of the organisers who provide them.

Liability

We work to keep the website available and accurate, but we provide it "as is". To the extent the law allows, we are not liable for indirect losses, or for losses caused by events outside our reasonable control, such as network or service-provider outages.

How we handle personal information is explained in our Privacy Notice.

Governing law

These terms are governed by the laws of Zimbabwe.
